Overview

MailBeacon LLC ("MailBeacon," "we," "us") provides AI-powered email prioritization for Gmail users. This policy explains what data we collect, how we use it, how we protect it, and the choices you have.

Google API Services — Limited Use Disclosure

MailBeacon's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • We use Gmail data only to provide and improve MailBeacon's email prioritization features directly to you
  • We do not use Gmail data for advertising purposes
  • We do not allow humans to read your Gmail data except with your explicit permission or as required by law
  • We do not transfer Gmail data to third parties except as necessary to provide the service, and only under confidentiality agreements
  • We do not use or transfer Gmail data for purposes unrelated to MailBeacon's core functionality
  • We do not use Gmail data to train, improve, or develop AI or machine learning models. Email content is processed in real time for classification purposes only and is never retained for model training.

What we access

MailBeacon uses Google OAuth to obtain read-only access to your Gmail inbox (gmail.readonly scope). We access:

  • Message metadata: sender name and email address, subject line, message snippet, and timestamp
  • Message body content: processed in memory to detect urgency signals, keywords, and deadline dates
  • Google Calendar: to create and manage deadline reminder events you explicitly request

We do not store the full content of your email messages. Processed metadata and AI classifications are stored in our database linked to your account.

We use Google Calendar (calendar scope) solely to:

  • Create calendar reminder events when you accept a detected deadline
  • Update or delete only the events MailBeacon itself created
  • Read same-day calendar events in memory only, to avoid creating duplicate reminders

How we use your data

We use your data exclusively to:

  • Rank emails by urgency in your Inbox Command Center
  • Detect bill payment deadlines, subscription renewals, and appointments in email content
  • Create Google Calendar reminders for deadlines you accept
  • Send daily SMS alerts you explicitly opt in to
  • Improve classification accuracy based on your explicit reclassifications
  • Provide your Weekly Intelligence Report

Automated background processing. When you connect Gmail and use features such as daily SMS alerts, calendar reminders, or the Weekly Intelligence Report, MailBeacon processes your recent Gmail messages on an automated schedule (currently once per day) on our servers — including at times when you are not actively using the app. This scheduled processing uses the same read-only access, performs the same real-time classification, and stores only the same processed metadata and classifications described in this policy. Nothing additional is accessed or retained. You can stop background processing at any time by disconnecting Gmail in Settings or revoking MailBeacon's access at myaccount.google.com/connections.

We do not use your data for advertising, marketing profiling, or any purpose unrelated to MailBeacon's email prioritization functionality.

MailBeacon does not use Gmail or Google Calendar data to train, improve, or develop any AI or machine learning models. All AI processing is performed in real time to classify emails and detect deadlines for your account only. No email content is retained after processing for any purpose other than displaying classifications in your dashboard.

MailBeacon does personalize its email classification based on your explicit feedback. When you reclassify emails from a specific sender three or more times, MailBeacon stores a personal preference rule for your account — for example, always marking emails from a specific sender as urgent. This preference data is specific to your account only, is never shared with other users or used to improve any AI model, and is permanently deleted when you delete your account. This is personal preference storage, not AI or machine learning model training.

How we protect your data

  • All data is transmitted over HTTPS/TLS encryption
  • Google OAuth tokens are protected at rest through infrastructure-level AES-256 encryption, row-level security, and strict service-role access controls.
  • Access to user data is restricted to authenticated requests only
  • We use Supabase (SOC 2 compliant) for database infrastructure
  • We do not store complete email message bodies — only processed metadata and classifications

Sharing and disclosure

We never sell your data. We share only the minimum necessary with:

  • AI inference providers (to classify email urgency) — under confidentiality agreements, no data retained after processing
  • SMS delivery providers (Twilio) — only your phone number and message content, to deliver alerts you opted in to
  • Database infrastructure (Supabase) — stores your account data and classifications
  • Law enforcement — only when required by law or valid legal process

We do not share Gmail data with advertising networks, data brokers, or any third party for purposes unrelated to providing MailBeacon's service.

Data retention

  • Email classifications are retained as long as your account is active
  • Google OAuth tokens are refreshed automatically and replaced when you reconnect Gmail
  • SMS opt-in data is retained until you opt out (reply STOP) or delete your account
  • Account deletion removes all stored classifications, settings, and tokens within 30 days

Your choices

  • Disconnect Gmail: Go to Settings → Gmail Connection → Reconnect Gmail, or revoke access at myaccount.google.com/connections
  • Opt out of SMS: Reply STOP to any SMS message, or disable in Settings
  • Delete your account: Go to Settings → Delete Account. This removes all your data and revokes our Google access within 30 days
  • Data portability: Contact support@mailbeacon.io to request a copy of your stored data

Children's privacy

MailBeacon is not directed at children under 13. We do not knowingly collect data from children under 13.

Changes to this policy

If we change how we use Google user data, we will notify you and obtain your consent before making those changes.
